My mother was a patient in the Citrus Heights ManorCare facility early
last year.  Abruptly she was dismissed when her Medicare ran out (as
in a couple of days notice when I was out of town), so I opted to keep
her in ManorCare for a partial month.  To facilitate this, I wrote a
check for approximately $6,000.  When I requested that she be
immediately removed from her private room and moved to a semi-private
room, the ManorCare billing representative told me not to worry that
we wouldn't be billed at the private room  rate.  

Several months later, I received a refund check from ManorCare and the
rate I was charged was slightly lower than the semi-private room we
had requested.  In 2004 we started getting billed by ManorCare for my
mothers stay in their Citrus Heights facility in 2003.  My wife and I
contacted ManorCare when we looked at the bill because we noted that
ManorCare had billed MediCal for a period of time that was in excess
of the number of days that MediCal would cover (which is why we paid
for my mother's care out our personal funds).  Now, over a year later,
that facility is still billing me and ManorCare had billed me for what
my mother's insurance has already paid and vice versa.  In my book
that is double billing and despite 5 or 6 attempts to deal with the
new individual in billing (my wife had to explain to the woman how to
correctly bill the insurance), we are still getting billed erroneously
and ManorCare is threatening to call a collection agency.

I've emailed ManorCare at careline@hcr-manorcare.com but it was a
useless.

For those who are contemplating dealing with ManorCare - just a heads
up.

For any kind of billing or credit dispute, you should always
conduct business IN WRITING BY REGULAR MAIL.  If you want to
dispute a bill, the only way to protect yourself legally is to do
it in writing.  Save copies of everything and note on copies of
any correspondence when it was sent or received.  If you think
you need proof that you sent something, send it certified mail
return receipt requested and save the receipt with your copy of
the correspondence when it's mailed back to you.

My advice is to send them copies of everything that proves the
bill was paid and a letter INSISTING that they correct their
billing.  Give them a deadline to do it about 2 or 3 weeks from
the date you mail the letter, and ask them to send you proof that
they have corrected the problem once they have done so.

If you don't think that the billing person is clueless, call and
ask for the name of her supervisor and address your letter to her
or him.  Tell the supervisor that you have tried for months to
correct the problem, that you are disputing their billing error,
and that you expect them to correct the problem NOW instead of
sending it to collection.

The only way to protect yourself is to do it in writing, not by
phone and not by email.
